Guidelines
- Any staff, faculty or administrator of Ohio K-12 districts, various state agencies, Ohio content providers and Ohio community organizations that are active members of Ohio's K-12 Network are eligible for these services. The Ohio K-12 Network was established to provide services to all public school districts in the State of Ohio, linking classrooms to each other and the Internet, while providing access to voice, data, video, electronic mail and other educational resources for students, teachers and administrators.
- Videoconference Services are made available to members at no cost. Connections to sites outside of the Ohio K-12 Network using ISDN PRI gateway services, satellite uplinks or downlinks or other additional services may incur charges. Contact the eTech Ohio VNOC if you have questions about connection charges for a specific meeting.
- Operating hours for the eTech Ohio VNOC are 7:00 am to 8:00 pm EST, Monday through Friday. Conferences scheduled before or after those times will not be monitored. The eTech Ohio VNOC Help Desk is closed on state holidays when offices are closed.
- Members must check the availability of rooms with all site contacts before scheduling a conference using the Videoconference Scheduler.
- Conferences must be scheduled using Videoconference Scheduler no later than 24 hours prior to the scheduled start of a videoconference. All scheduled conferences will be confirmed via email through the Videoconference Scheduler.
- To schedule conferences with less than 24-hour notice, members must call the eTech Ohio VNOC at 877-843-3640 or 614-485-6640. Resources are subject to availability.
- Pre-test time is not built into scheduled conferences. eTech Ohio recommends that schedulers build-in a 20-minute pretest.
- Members must have their videoconferencing equipment turned on 20 minutes prior to the start of each conference. If your site does not connect within 5 minutes of the pretest start time call the eTech Ohio VNOC at 877-843-3640 or 614-485-6640.
- Members must schedule all ISDN PRI gateway service calls using VC Manager. Resources are subject to availability.
- Members scheduling ISDN PRI calls must provide the ISDN number for the off-network rooms. Off-network rooms dialing into the network will receive a confirmation email that includes a 10-digit phone number that the off-network room will use to dial into the video bridge.
- Members need to provide the speed (384kbps, 512kbps, 768kbps,etc) at which they would like the conference to operate. (This can be selected online in the conference feature tab). ISDN PRI calls are limited to 384kbps.
- The eTech Ohio VNOC will not add a site to a scheduled conference without approval from the conference requester (scheduler).
- For conferences that require an extended end time, call the eTech Ohio VNOC at 877-843-3640 or 614-485-6640.
- Continuous presence resources are scheduled on a first-come, first-served basis.
For large conferences (larger than 16 sites), call the eTech Ohio VNOC at 877-843-3640 or 614-485-6640 at least 24 hours in advance.
