Videoconference systems must be registered in eTech Ohio's VC Manager scheduling system in order to utilize video bridging, gateway and scheduling services. All previous VC Wizard video rooms and user accounts have been transferred to VC Manager and all users should utilize the new system to update existing video rooms or register new rooms. eTech Ohio has developed a set of online tools to assist users with performing these tasks.

Note: In order to access the following online tools you must have an existing eTech Ohio Hall Pass account or you will be prompted to register for a new Hall Pass Account.

Updating Existing Video Rooms and Room Contacts
This tool should be used by to modify/submit changes to existing video rooms and room contacts that are currently registered in VC Manager.

The video room contact is the person that serves as the primary site contact who approves use of the room. Existing room contacts are being asked to verify that their existing video room (transferred over from VC Wizard to VC Manager) is still actively used for videoconferencing. If a video room is no longer active, users should select "no" in the drop down menu and submit the change by clicking on the "submit" tab at the bottom of the page.

If a video room is still active, the existing room contact should ensure that all information is current and make any changes to the profile if necessary. To submit changes to video room profile click on the "submit" tab at the bottom of the page. Note: Users may modify an existing video room profile and change the "Video System Type" field from H.321/ATM to H.323/IP, if their intent is only to replace the Video System at the current location. In addition, users will also be asked to provide a static IP address for the Video System.

Update Existing Video Rooms and Room Contacts

Registering New Video Rooms and Room Contacts
This tool should be used to register new video rooms and room contacts that are not currently registered in VC Manager.

VC Manager now supports video bridging and gateway services for H.323/IP videoconference systems, while continuing to support H.321/ATM and H.320/ISDN videoconference systems. Video Systems that are not currently in VC Manager will need to be registered (specifically, H.323 IP rooms since there were none in the previous scheduling system).

To register a new videoconference system, users will need to provide the following information:

  • Video Room Information (name, address, telephone number, etc.)
  • Administrative Information (organization, facility type, room features, fees, etc.)
  • Network Information (video system type, static ip address, host service provider)
  • Room Contact Information (Video room contact is the person that serves as the primary site contact who approves use of the room, schedules conferences and coordinates arrangements for conferences held at their site).
  • Technical Contact Information (The technical contact is the person that provides technical support at the site videoconference system operation and connection to the network. Their primary function would be to provide onsite support in case of technical difficulties connecting to a conference.

Upon review and approval of registration information, a confirmation will be emailed to the Room Contact that includes Video Room Profile information and User Name and Password to access the VC Manager scheduling system.

NOTE: When a new video room is registered, the Room Contacts and Technical Room Contacts automatically receive a VC Manager scheduling account. Others wanting to schedule videoconferences only will need to submit a Request for Scheduling Account Only in the next step.

Video Room Certification Testing

eTech Ohio recommends that users contact the eTech Ohio VNOC and schedule time to perform a series of test calls between your new video room and the eTech Ohio VNOC bridge. Test calls consist of a series of Dial-In and Dial-Out calls and will include any speeds that are planned for use in future videoconference calls (i.e., 128K, 384K). These tests are done to ensure compatibility between the video room equipment and eTech Ohio video bridges. Proper testing up front increases the success rates of future calls. Same day testing may be available. Upon successful completion of test calls, Video Room Profiles are marked as "Certified" in the VC Manager scheduling system.

Register New Video Rooms and Room Contacts

Registering for Scheduling Accounts Only
This tool should be used to request a new scheduling account only.

New customers not registered in VC Manager may register for a VC Manager scheduling account only. This account allows a user to schedule videoconferences using VC Manager and does not associate them with a video room.

NOTE: When a new video room is registered, the Room Contacts and Technical Room Contacts automatically receive a VC Manager scheduling account.
