Recording, Streaming & On Demand

eTech Ohio's recording service enables members to record a conference using standard videoconferencing equipment. We utilize a Codian IPVCR that allows users to view a live stream or an on-demand playback of a recorded conference on their own computer. Content is recorded live and streamed to a Web Browser and viewed using QuickTimeTM or Windows Media PlayerTM.

To Schedule a Recording

Members can schedule the recording of a conference using TC Reliance Reservation Manager. IPVCR rooms are listed in the system and these rooms are scheduled by selecting them from the IPVCR Room Group dropdown list, similar to the way you select a video room. Up to 2 simultaneous recordings are supported. Rooms are available on a first come, first serve basis.

NOTE: IPVCR rooms must be scheduled using TC Reliance Reservation Manager no later than 24 hours prior to the scheduled start of a conference and "approved" for use by the eTech VNOC.

Instructions

  1. Add an IPVCR room to your reservation by selecting it from the "IPVCR Room Group" list in TC Reliance.
  2. Validate your reservation. Status of your reservation will change to "Requested Room Approval Required"
  3. eTech is then sent a a "room approval" request at which time they will review/approve your request and perform final "validation" of your conference.
  4. When eTech VNOC approves room, you will receive a confirmation email that will includes "Recording ID", "PIN Number" and instructions on how your participants can access a live stream on the day of conference or on demand stream after conference.

To View a Live Stream or On Demand recording

eTech Ohio's streaming service enables members to view a live conference in a web browser - viewed using QuickTimeTM or Windows Media PlayerTM. This service is particularly useful way for individuals that may not be able to attend a conference to see and hear the participants in near real-time. Members must first schedule a recording of a conference using TC Reliance Reservation Manager.

Instructions

  1. Using a web browser, go to 208.108.11.89 (Codian homepage)
  2. Enter Recording ID
  3. Enter Pin
  4. Select Media Playback Device
    1. From the drop down menu, select the format in which you will watch the class.
      1. For Mac Users QuickTime is the best option.
      2. For PC users, Windows Media Player is the suggested format to view the recordings.
    2. Once the format has been selected, click the tab that says "Start Streaming".

NOTE: If you are using Windows Media Player and the video does not begin to play automatically, just below the Windows Media Player, click on the link "Click here to download the codec if Windows Media Player is unable to process the stream". Follow the instructions for installing the codec. When the codec finishes installation, you will be instructed to close your browser for the changes to take effect. You are now ready to return to Steps 1-4 to access the class recording.

To Download a Recording

Recordings can be downloaded from the IPVCR in one of two formats:

  • Mpeg files can be downloaded directly from the Codian and played on your PC using any application that supports MPEG video clips, such as QuickTime Viewer; or
  • Codian files can be downloaded and converted into a Windows Media Video (.wmv file) using the Codian WM Converter tool, that is available from www.codian.com

NOTE: Recordings downloaded in MPEG format are larger files requiring greater download times, whereas .codian files will transfer much more quickly, however, you will have to convert the files using the converter tool.

Instructions

  1. Using a web browser, go to 208.108.11.89 (Codian homepage)
  2. Click on the "Click here to login" link at the bottom of the page
  3. Click on "Change Login" tab
  4. Enter User Name=scheduler
  5. Enter password=scheduler
  6. Click on "OK" tab
  7. Under "User Options" heading, Click on "View Recordings List" link
  8. Scroll down recordings list and Click on "Name" of media you want to download.
  9. Note: name listing is alphabetical". You can also search by "recording id"
  10. Enter Recording PIN, click "proceed" tab
  11. Under "Status" heading, click on "download MPEG file" link.
  12. Click on "Save" tab.

Archiving

Since there is limited capacity on the Codian IPVCR, recordings will be accessible for a 15 day period at which time they will be removed from the Codian IPVCR to make room for new recordings. eTech highly recommends that you follow instructions to download a recording.
